FAQ for O365 E-mail service

1. What is the Web Interface to access O365 email ?

It is called Outlook Web Access (OWA). URL is http://www.cuhk.edu.hk/o365.


2. How to forward my O365 email messages to another email address ?

When you forward email to non-CUHK account, you should understand the potential risk of information leak and protect related personal information appropriately.

Login to CUHK Outlook Web Access (http://www.cuhk.edu.hk/o365), click on ¡§Mail¡¨.

At tool bar, click Settings button > Mail > Forwarding.

3. How to set autoreply message (vocation notice) ?

Login to CUHK O365 page (http://www.cuhk.edu.hk/o365), click on ¡§Mail¡¨.

At tool bar, click Settings button > Mail > Automatic processing > Automatic replies.

4. How to check current quota usage of my O365 account ?

Outlook (Easier) File tab > Select Info > Cleanup Tools button

Web Access Login to OWA (http://www.cuhk.edu.hk/o365), click on ¡§Mail¡¨. At the tool bar, click Settings button > Mail > General > My Account, you can find ¡§Mailbox usage¡¨ at the bottom.


5. How can I change my Display Name inside O365 ?

You can submit the change via this online form.

6. I have a new project account. How can I change my change the Email aliases name (e.g. b123456@cuhk.edu.hk) ?

You can change the alias name here: online form.


7. How to access O365 from my mobile devices ?

You can either install OWA App or Outlook 2016 for your mobile device. For Outlook 2016, each user can install up to 5 devices associate to your CUHK account.

For OWA, It is possible for you to recover a deleted items when you using OWA.

10. Is there any limitation when I use O365 email service ?

Mailbox Quota 50 GB
Message Size 25 MB
Attachment 25 MB
Length of Subject 255 characters


11. Can I make request to increase my mailbox quota ?

There is on such service at this moment. You are encouraged to do housekeeping for the mailbox.


12. How to set rules to filter Emails to a specific folder ?

13. What tools are available for message filter ?

Inside OWA:

Junk Email Filter Default is ON and protection level set to ¡§No Automatic Filtering¡¨.

Clutter This service helps you to filter low-priority email, saving your time on important messages base on your previous usage habbit.

1j. What happen to my email when I leave CUHK ?

Your whole O365 account, including email, OneDrive and other O365 services, will become read-only 1 day after your leave. 30 days later, the account will be disabled completely. So please do your own data backup before your leave.


15. Can I apply email account for our programme or office use ?

Yes. Please fill in the application form and submit to ITSC directly. Details can be found at this page from ITSC .


16. I accidentally delete some of my emails. Can I recove them ?

Delete via Outlook On your left-hand side, go to the profile xxx@cuhk.edu.hk, click on the "Deleted Items" folder, find the interested message and copy to the "Inbox".
