About Email Accounts
¡EEach full-time staff from Departments and Faculty Offices will have two email accounts: | |
(i) University account; and | |
(ii) Faculty's Internal Email account | |
¡EThe computer in your office PC is set up to receive two accounts at the same time. | |
¡EYou don't need to bother the technical setting and enjoys both services. |
What are the benefits to have Faculty's Internal Email ?
¡EAddress book function: | send email to people by seaching names, you do not need to remember recipient's email address. Or, colleagues from other Faculty can reach you more easier. |
¡EMailing group function: | allow to create mailing group for departments/ units/ committees or faculty offices |
¡ETransfer of large file : | allow to send large fileas large as 25MB file to internal members |
¡EProvide backup communication channel when the University Email system is not available or too busy |
Do we have any kind of protection for the Email service ?
Yes. Both University Email server and Faculty's Internal Email server are protected by Antivirus and Antispam software. Take the Faculty's Internal Email server as example, it filters more than 4,000 spam emails everyday.
(i) Consider to set up an auto-reply message
When people send email to you, the system will return a user-defined message to the sender to notify that you are at the middle of a trip. When you come back to office, you can then turn it off to remove the auto-reply message.

In fact, you don't need to remember these two links. They are posted in the Faculty website ( "Staff Information")
(iii) | Since all mailboxes have quota limit, you should be awared not to accmulate too many things inside the mailbox. Especially when you have a long trip. You can try to remove some old emails to keep the mailbox size below 100%. The quota limit of both email systems are listed in (4)(i). |

(5) Limitation that require attention
(i) Is there anysize or quota limit with my mailbox ?
Yes. Please refer to the following.
University 500MB for staff / 150MB for student -- Refer to ITSC Internal Email 500MB
(ii) Is there any limit in email attachment ?
Yes. Please refer to the following:
University 18MB Internal Email(internal to internal) 25MB Gmail 25MB Yahoo 20MBIn general, we recommend user not to send Email attachment with size larger than 18MB especially the recipient is non-CUHK party.
(iii) I am going to send a message to a large group of student. Is there any limit in the number of recipient ?
Yes. Take Ms Outlook as example, the recipient field (¦¬¥óªÌ) can only fill up with maximum 100 email address. For group size larger than 100, you need to split it up into batch or otherwise some of the recipient will fail to receive the message.
(iv) Some high-risk email attachments will be blocked. Why it is necessary to do so ?
Many viruses/trojans make use of email as a major channel to spread out and make computer infected. To protect our end user, the Faculty Anti-spam system check the attachment files of all incoming emails. Once high-risk files such as .exe are identified, the related attachments will be removed.
For your reference, the following file types of attachment will be blocked (for incoming emails).
Most of them are not common to general user..ade, .adp, .bas, bat, .chm, .cmd, .com, .cpl, .dll, .exe, .hta,
.ins, .isp, .jse, .lib, .mde, .msc, .msi, .msp, .mst, .ocx, .pif,
.scr, .sct, .shb, .sys, .vb, .vbe, .vbs, .vxd, .wsc, .wsf, .wshOther normal file types such as pdf, doc, docx, xls, xlsx, ppt, pptx, jpg, txt, data will not be blocked.
For Emails with attachment filtered, an alert message will be added into the message body as below. The rest of the Email message will still be delivered to the recipients.
*** The original attachment of this e-mail was suspected to contain an unsafe file.
To protect your computer from attack, the attachment was blocked by the Anti-spam system of Faculty of Education, CUHK. ***As a final note, the same policy is applied by ITSC of CUHK.
For Gmail, this policy is applied for both incoming and outgoing message.
